AdvisorEngine Client Portal Document Share with Linked, Copied, or Split Records
Note: This feature is in pilot and not available to all firms.
The following document denotes the behavior to expect in each of the listed circumstances for the CRM <-> PMP document share feature.
Linked Persons
When Linking a Person to More than One Record the following behavior can be expected:
- Documents can be uploaded and shared to the Client Portal from any Record the Person is linked to.
- Documents shared from the CRM side only appear on the Record they were shared from.
- Documents uploaded to the Client Portal by the client will appear on the Record marked as Primary for the linked Person.
Changing the Matched PMP Client to a Record
If a Record contains documents set with the Share with Client option enabled, any new Portfolio Manager Client associated to that Record as Person 1 or Person 2 will receive all the shared documents selected. Use caution when changing or adding a Portfolio Managment client match to ensure documents are only shared with the intended recipient(s).
Copying a Record with a Matched Client/Person
When Copying a Record that has a Person matched to a PMP Client, all documents are duplicated on the new Record copy and the Person is linked between the two Records. Based on the Linked Persons behavior described above, this means that any documents Shared with Client on the source Record will now appear in the Client Portal twice. After copying a Record, you will need to manually remove the duplicates from shared status.
Splitting a Record with a Matched Client/Person
When Splitting a Record that has one or more Persons matched to PMP Clients, the following behaviors can be expected:
- The Persons will retain any existing matches to PMP Clients.
- Documents are either kept on the source Record or moved to the new Record based on the selection made in the split process.
- Documents marked as Shared with Client will be shared to the Client Portal of the PMP Client that the Person is matched to.
- If they are moved to a Record of a Person with no match, they will retain the Shared with Client status but not actually be shared anywhere.
