Orion Asset Import (Unattended)
If you are unfamiliar with how Asset Imports in AdvisorEngine CRM operate, see Asset Import Overview before proceeding.
Orion is an unattended asset import. Once the initial configuration is set, there is no need to manually initiate the import. The import will run automatically every night sometime after 3am Eastern (but prior to start of business).
Orion API User Setup
To utilize the Orion API import, the firm must create an additional user profile within Orion specifically for the import process. See Obtaining Orion API Credentials or contact your Orion Support department.
Optional: Filter Import by Rep Codes
If you want to import assets only for specific Rep Codes, follow the steps below. If not, skip down to Setting Up the Import.
Firm Setup:
- Navigate to Settings > Firm Profile > Firm Preferences tab.
- Click Edit.
- Click Setup on the Orion Options line.
- Select the checkbox for Require Rep Codes for Orion (API/Unattended).
- Click Ok to close the dialog and then click Save to commit your changes.
Entering Rep IDs
- In AE CRM, navigate to Import > Asset Import.
- Click Settings.
- Select Orion_Unattended from the Select Interface to Configure drop-down. Click Next.
- If you do not see that option in the list, you will need to Add the Interface before you can proceed. Adding the interface will take you to step 6 automatically.
- Navigate to Settings > User Profiles.
- Select the configuration to edit. For most firms this will be Default. Click Next.
- If you have not already, enter your API credentials in the Username and Password fields.
- In the Rep Codes field enter the Rep Codes that you want used when the Orion API import is run. Multiple IDs should be separated by commas. An example would be 24,25,26. Rep Codes can be found in your Firm Profile > Representatives page in Orion.
- Click Save to commit your changes.
Setting Up the Import
- In AE CRM, navigate to Import > Asset Import.
- Click Add New Interface.
- Select Orion_Unattended from the drop-down and click Add. The import configuration screen will load.
- Enter the credentials from Orion in the Username and Password fields.
- Select a User Group to receive system alerts about the daily imports.
- Configure any of the remaining options as needed (see Import Configuration Options for details) and click Save.
The import will now run automatically overnight. Users in the assigned User Group will receive a system alert on the status of the import when they log in each morning.
Assigning the Imported Data
You will receive a System Alert when the imported data is ready to be assigned to Records and approved.
- Open the Alerts window and click the System Alerts tab.
- Click Acknowledge on the alert.
- Click Click to Continue. The Asset Import: Unassigned Accounts window will open. Any accounts from the import that have not been previously or automatically matched to a CRM Record will appear in the top Grid. These must be matched to Records to be imported. Any unmatched account data will be discarded from the import. To match accounts:
- Using the checkboxes, select all the accounts belonging to a single Record in the upper Grid.
- Search for and select the matching Record in the lower Grid.
- Click OK in the pop-up to confirm the match.
- Repeat the process until all accounts have been matched.
- Click Finish to complete the Asset Import process.
