Linking Items to Actions

AdvisorEngine CRM gives you the ability to link many other CRM components to Actions. This article will cover the possibilities in brief and link to the expanded details of how to link any particular item.

The following components can be linked to an action:

  • Assets
  • Documents
  • Emails
  • Insurance
  • Opportunities
  • Calendar Appointments
Note: Items can only be linked to active Actions, not to Workflow Templates or the Templates created for use in a Recurring Action Definition.

Linked Items Overview

In Action Summary view, the Linked Items box will be displayed along the left column. All items linked to any Actions in the entire Workflow will be summarized here. The numbers after the item type indicated how many of each have been linked total through the entire Workflow.

Click on any of the items in the Linked Items box to bring up a pop-up window showing the specific items linked.

While editing an individual Action Card, the items linked only to that single Action can be accessed from a similar set of links above the Notes. Note that this is the only view to see linked Calendar items.

Assets

Linking Assets to Actions is a one-way only link that must be done from the Action side. Any Asset logged in the Record can be linked to an Action on the Record and opened directly from that Action after it is linked.

Documents

Linking documents to an Action is a one-way link that generally must be done from the Action side. When creating a link, you are able to create a document from scratch, upload a document, or link to a document already in the Record’s document vault.

A document link may also be established if an Action is created while creating a Single or Mass Letter correspondence. The merged correspondence will be linked to the created Action automatically.

Emails

Email links can be established through four different methods:

Insurance

The method for linking Insurances to Actions is identical to linking Assets. Follow the same steps as Linking Assets to Actions except within the Insurance tab of the linked items window.

Opportunities

Linking Opportunities to Actions is a one-way only link that must be done from the Action side. Any Opportunity associated with the Record can be linked to an Action on the Record and opened directly from that Action after it is linked.
